Welcome to Sunray Voyagers. These Terms and Conditions govern the contractual relationship between Sunray Voyagers (“the Company”, “we”, “us”, or “our”) and the client (“the Guest”, “you”, or “your”) purchasing tour packages and travel services.
By booking a tour with us, you explicitly agree to comply with and be bound by the following terms and conditions.
Booking Confirmation & Flight Ticket Requirement
To ensure maximum flexibility, Sunray Voyagers does not require any financial deposit prior to your arrival in Sri Lanka. However, your booking is only officially confirmed once you provide the following documents to our team through official communication channels:
- A clear copy of your confirmed return flight tickets to Sri Lanka.
- A clear copy of the photo/information pages of passports for all travelling guests.
Payment Milestone Schedule & Currencies
All tour payments are structured under a strict milestone policy as outlined below:
First Installment – 50%
50% of the total agreed tour cost must be settled in full on the commencement day (Day 01 – On Arrival) of the tour package before transport services begin.
Final Settlement – 50%
The remaining balance of 50% must be fully paid and cleared at least two (02) days prior to the official completion date of the tour itinerary.
Accepted Currencies
Payments are accepted in either United States Dollars (USD) or Sri Lankan Rupees (LKR).
Exchange Rate Regulations
If you choose to settle payments in Sri Lankan Rupees (LKR), the final amount will be calculated based on the official commercial bank buying and selling exchange rates prevailing on the exact day of the cash transaction.
Cash Quality Control
Due to local banking regulations in Sri Lanka, all physical foreign currency notes (USD) provided must be clean, unsoiled, un-torn, and strictly printed after 2013. Torn or older series notes will not be accepted.
Cancellation and Tour Interruption Policy
Since we guarantee your hotel bookings and private transport without an advance deposit, we rely heavily on mutual trust. The following terms apply in the event of cancellation or interruption:
Cancellation Before Arrival
Guests must inform Sunray Voyagers at least fourteen (14) days prior to their arrival if they intend to cancel their tour.
Early Departures / Tour Interruption
If a guest chooses to cut their tour short, leave early, or skip specific accommodations or activities after the tour has commenced, no refunds will be given for the remaining unused portions of the tour, and the remaining 50% payment obligation remains applicable.
Changes to Itinerary
Changes Requested by the Guest
Any major additions or changes made to the itinerary by the guest after arrival will be subject to availability and may incur additional operational charges.
Any additional costs arising from such changes must be settled immediately in cash before the additional services are provided.
Operational and Force Majeure Changes
Sunray Voyagers reserves the right to modify routes, hotel selections, or activities in the event of extreme weather conditions, road closures, train cancellations, political unrest, or other unforeseen circumstances beyond our control.
Mandatory Travel Insurance & Health Responsibilities
It is a mandatory condition of booking that all guests secure comprehensive Travel Insurance prior to arriving in Sri Lanka.
The travel insurance policy should provide coverage for:
- Personal accidents and emergency medical expenses.
- Emergency medical evacuation and repatriation.
- Loss, theft, or damage of personal luggage.
- Trip cancellation and interruption expenses.
Sunray Voyagers will not be held financially or legally responsible for medical expenses, flight delays, lost luggage, accidents, or personal losses occurring during the tour duration.This includes activities such as high-altitude hiking, whitewater rafting, long treks, and other adventure experiences.
Passports, Visas, and Entry Permissions
It is the sole responsibility of each guest to ensure that they possess all required travel documents before arriving in Sri Lanka.
- Guests must hold a valid passport with at least six (06) months of validity remaining from the date of entry into Sri Lanka.
- Guests must obtain the required Electronic Travel Authorization (ETA) visa or any other required entry permissions before arrival.
- Guests are responsible for ensuring that all immigration and entry requirements are fulfilled before travelling.
Limitation of Liability
Sunray Voyagers operates as an inbound tour planner and travel coordinator. While we carefully select and work with reliable service providers, certain services may be provided by independent third-party suppliers.
These may include:
- Boutique hotels and accommodation providers.
- Safari jeep operators.
- Boat operators and marine activity providers.
- Adventure activity providers and local service partners.
Although we carefully evaluate our partners, Sunray Voyagers does not directly own, manage, or control these independent entities.However, Sunray Voyagers will make every reasonable effort to assist guests in resolving issues and ensuring the best possible travel experience.
Governing Law
These Terms and Conditions, including any disputes, claims, or disagreements arising from services provided by Sunray Voyagers, shall be governed by and interpreted according to the laws of the Democratic Socialist Republic of Sri Lanka.
Any legal proceedings, disputes, or claims relating to these terms shall fall exclusively under the jurisdiction of the courts of Sri Lanka.
